Job Purpose

As Events Executive you will support the Events Manager and Head of Events in the successful delivery of a portfolio of physical and virtual events, providing an industry recognised forum for debate and sector networking.

You will be a highly organised, adaptable, flexible, and tech-savvy individual with experience in supporting a range of events. As a member of CIWEM’s External Affairs Team you will contribute to a dynamic, supportive environment, sharing knowledge and experience across the team to enhance all aspects of CIWEM’s business.

Job Description and Responsibilities

  • Providing administrative, logistical and operational support to the events team in the lead-up to, and during, CIWEM’s physical and digital events.
  • Processing event bookings and delivering a great customer service to all delegates prior, during and after the event
  • Processing invoices, tracking sales and chasing outstanding payments
  • Maintaining, updating and sending event materials and deliverables to clients, undertaking all delegate correspondence
  • Compiling and presenting regular reports on event status, sales and operations delivery activities
  • Coordinating and sharing event performance
  • Keeping event websites and the events section of the CIWEM website updated, working with the Marcomms team on the effective promotion and marketing of all activities
  • Monitoring shared mailboxes and responding to queries from clients/delegates in a timely manner
  • Attending and supporting the delivery of events on the day, occasionally requiring an overnight stay
  • As a member of the External Affairs team, be an active team player, supporting colleagues within the team and other departments at peak times

Person specification:


  • Previous experience in an events support role, including customer service
  • Tech-savvy with experience using digital platforms and tools related to events
  • Demonstrable understanding of comms and marketing for events Proficient in Word, PowerPoint, Excel and the creation of visually engaging reports and presentations
  • Strong interpersonal skills, the ability to work independently and engage effectively within a team as well as networking and promoting CIWEM externally
  • Capable of remaining calm under pressure and working to deadlines, confident to use own initiative and manage own workload
  • Well organised and enthusiastic with ability to multi-task and prioritise effectively with strong time management skills
  • Excellent oral and written communication skills and an excellent telephone manner

Desirable Knowledge and Skills

  • Experience working in an educational or professional body/association events team
  • Experience developing briefings, moderator notes, etc.
  • Social media experience related to events
  • Experience/knowledge of the water and environmental management sector

The post is a full-time, permanent role. Normal working hours are 9am to 5pm from Monday to Friday (inclusive). Some flexibility in working hours and location is permitted subject to prior agreement with your line manager and in accordance with CIWEM’s wider policies. The post holder may be required to work occasional extra hours according to the operational needs of the Institution.


The CIWEM office is based at 106-109 Saffron Hill, London EC1N 8QS but following Government guidance the office is currently closed. The post holder will be required to work remotely from home until the office reopens at a future date. Once the office has reopened, remote working will be appropriate to this role in accordance with CIWEM’s remote working policy.
